SA Supra Club 2008 AGM annual general meeting for club financial members

will be held at the Shannons Insurance club rooms (863-865 South Road, Clarence Gardens)
Saturday 15 March
11am-1pm
lunch afterwards at the Avoca (South Road) - carpark is low car friendly
this is for the club's current financial members and is an opportunity to have your say in what the club does for 3/2008-3/2009
it is also a chance to relay any feedback or suggestions that you may have in order to help improve the club and this site
if you're not there, you won't be heard
non members are welcome to pay the $10 half yearly fee to join at this meeting

if you want to have your say in what this club does or where it's heading, then you need to attend this meeting!
if you believe that the club should NOT be trying to organise displays at car shows, having regular motorsport & dyno events, or meeting regularly for cruises then you're more than welcome to tell us IN PERSON at this meeting.
if you would like to join the club as a financial member for the second half of this membership year, please bring along $10 - we will have membership forms to fill out on the day (otherwise you can download the form here: http://www.sasupra.c...showtopic=1628)
the main benefits of paid membership is access to significant discount from the club's major sponsors (Fours N More, Sinergy Motorsports, parts, servicing) and access to more sub forums contained on this website. you also have no limit to your postcount (20 posts is the limit for non-financial forum members)
so we hope to see lots of people on Saturday morning.

Excellent, so you'll bring it along yeah?
I still remember my first Supra (in fact only one but anyway), was sleepless the night before that's for sure, like an excited teenager! Shame I had to drive it back from Melbourne the next day.

Many of this club's financial membership attended this three hour meeting and a number of important topics were covered. Thank you to all the members who gave up most of their Saturday to participate in the meeting.
As a result of the AGM, there will be a number of changes affecting this website (look, layout, content) and the events that this club is involved in (more of them). The minutes of the meeting will be available in the Club Business sub section later this week (visible only to financial members)
We are grateful for the continued support of Fours N More and Sinergy Motorsports for the 2008/2009 club year, and are sad to see Adelaide Pro Sound depart our line up of club sponsors.
For the forum members who did not attend the AGM: If you would like to contribute to how the club and website are run, you will be best served by signing up as a financial member ($20/year, but only $10 for the remainder of this membership year) and attending our regular meetings to present your suggestions.
As mentioned above, there are a number of benefits from being a full financial member (as opposed to just being a registered forum member with a website login) - eg. access to significant discount from the club's major sponsors (Fours N More, Sinergy Motorsports, parts, servicing) and access to more sub forums contained on this website. You will also have no limit to your postcount (100 posts is now the agreed upon limit for non-financial forum members)

3.1 President's report (Yiros)

3.2 Treasurer's report (Darren)

* starting balance = $297.96CR
* membership fees + sponsorship + merchandising + fundraising = $1,950.26CR
* merchandising costs = $947.73DR
* webhosting + food/drinks for cruises + PO BOx = $764.82DR
* final balance = $535.67CR

* significant cost of transferring website ownership to the club is a once off write down
3.3 Events report (Wookie, Reaper, ultra_supra)
* the major shows attended by the club were discussed = AutoSalon, Small Car Sunday, ToyoShow, Street Machine
* AutoSalon = 4 Supras only in 2007 (down from 8 in 2006)
* SCS = 7 Supras entered
* Toyo Show 2008 = 7 Supras, but won participation trophy and awards - well done!
* Toyo Show trophy put on display during the meeting
* most successful club events = cruises to St Kilda and Rapid Bay
* recent success of ten pin bowling and ice skating events
* issues with the Event coordinators and cruise team lineup - Loco away much of last year, Hardy demoted due to inappropriate behaviour.
* DynoDay (Reaper) - drop in numbers in 2007 noted, but attendence good overall
reason for this = most people know their dyno figures from 2006 and have not changed much to justify another dyno run in 2007
* Trackday (ultra) = no major change from 2006 trackday participation (4 Supras attended in 2006, 5 Supras in 2007)
4. Website / forum issues
4.1 Website admin team expansion
* Ice brought on board by Reaper for his expertise - his regular job is with HostWorks, one of Australia's premier webhosting companies.
* ultra_supra's role upgraded to Admin to help sort out forum sponsor subsection issues - has previously worked as a network engineer.
4.2 Forum history
* Creation of the website by Boost_Samurai acknowledged.
* Transfer of website ownership to the Club mid last year discussed.
* website was hacked by the "Syrian Hacker" overnight - highlighted the issues of website security and the need to have our data hosted locally with local support.
* Reaper reports that Servage (our current webhosting provider) is difficult to contact via email and does not have any listed telephone number for direct contact/support.
4.3 Forum software licencing and upgrades
in order to improve the availability, reliability and security of the website, this forum's software and database will be moved from Servage to Hostworks as soon as possible. the Invision Powerboard (IPB) software will also be upgraded to a fully licenced version that allows access to genuine updates and technical support. problematic software modules like the shoutbox are third party add ons are unsupported, so may not work following the transition to the full IPB software - unreliable plug-ins may not be compatible with the new software so may have to be discarded in the upgrade progress
5. Club positions for 2008/2009
* the expectations and responsibilities for each position were outlined
* each existing committee member was given the chance to remain in their position by nominating themselves to continue in the role. other nominations were then taken for each position and the position put to a vote.
* Stikasupra was unable to attend the meeting, but indicated his desire to continue in the role of Marketing via proxy (Damo). as no one had received any correspondence or communication from Loco (Pete) regarding the status of his position (Event Coordinator) it was assumed that he did not wish to continue in that position for 2008/2009.
5.1 Club President (Yiros) re-elected without opposition
5.2 Vice president (Darren) re-elected without opposition
5.3 Treasurer (Darren) re-elected without opposition
5.4 Secretary (ultra_supra) re-elected without opposition
5.5 Website admin team - Reaper re-elected without opposition. Ice & ultra_supra on board as permanent admin
5.6 + 5.7 Event and Cruise coordinators
* cruise and events coordinator roles amalgamated
* Wookie and Nuno elected to stay on in their roles.
* individual roles supported with the creation of a team to help with organising cruises and shows.
* Relaxx, Yiros, 250Pluss, ultra_supra and supralicious voted to the new team. no opposing votes.
* suggestions for cruises/routes welcome - creation of a cruise suggestions thread agreed upon
5.8 Marketing - Damo and Steve re-elected without opposition
5.9 Website moderating team
* it was decided that only elected committee members are moderators.
* As a result TEFE, Loco, PK are off the list of moderators for 2008/2009.
6. Club Sponsorship - Major Sponsors & Supporters

* We are grateful for the continued support of Fours N More and Sinergy Motorsports for the 2008/2009 club year, but are sad to see Adelaide Pro Sound depart our line up of major sponsors. We wish George (APS) all the best in his future business endeavours.
* We are also grateful for the quiet support of Howes Signs who have provided so much of the signage and free vinyl stickers to this club through Stikasupra.
* Sonia (250Pluss) was encouraged to utilise her sub section on the website more to promote Four N More!
* Yiros & Darren will contact Boost Samurai to determine whether Mark wishes to continue on as a major sponsor of the club for 2008/2009 with advertising space and a sub forum.
6.6 new sponsors
* Sonia suggested having a crash repairer on board as a sponsor. She will approach All Type Crash Repairs on behalf of the club to see if they would like to be associated with SA Supra.
* the club welcomed Marvey Tech (Car Audio and Security) as its newest major sponsor for 2008/2009. John (Marvey) brings to the club almost 20 years of car audio installation experience and will be offering a wide range of car audio services (car audio retail, installation, security, custom design, and fabrication) to our membership base. we will launch his new forum sub section after Easter.
7. Feedback for 2007 and Directions for 2008
7.1 Annual sound off
To continue the SA Supra sound off as an annual event (last year's = topic 1465) MarveyTech has offered to host this year's event in early May. This will be held at the MarveyTech workshop and will be combined with a dyno comp at Morpowa nextdoor to provide the club with its second Dyno Day comp for the year. This gives our membership an opportunity to see two different types of kilowatt events with the usual bbq food and drinks available. We hope to see a wide range of members (financial and non-financial) attend this event to see/hear what audio systems have been installed in Supras as well as seeing what they can do on the dyno.
7.2 + 7.3 + 7.4 AutoSalon 2008, Small Car Sunday and ToyoShow 2009
the new events committee will work towards improving the club turnout and displays at these shows
7.5 Dyno Day
We envisage running two Supra dyno comps each year - one at Morpowa (Dyno Dynamics) in the first half of the year and the traditional annual challenge at MRE (Mainline Dynalog) in October as usual.
7.6 Track days + driver training days
in addition to the annual Track Day, ultra_supra will be working towards offering regular Level 1 driver training days with accredited organisations (Drive to Live, Drive to Survive) for Supra owners as well as their non-Supra driving family & friends. we will be encouraging everyone to attend these types of courses to improve their safety awareness. it was emphasised that these are defensive driving courses for the general public and not Mallala type racing / sprint days.
7.7 Other events
* Christies Beach - Old School, New Age Show event will be held on Sat March 29

8. Conduct of club members
8.1 On the road - cruises
* Member conduct on the road during club cruises over the last year has been good
* Policies around member conduct on official club cruises (no street racing, no reckless driving, no burnouts, respect for other drivers on public roads) will be further ratified by the committee this year
* Formal cruise route maps with directions will be generated to reduce chance of participants getting lost
* the club will not condone or be responsible for the behaviour of non-club members (randoms) who join the our cruises without signing the disclaimer forms
* More regroup points and toilet friendly stops will be added on official cruise routes
8.2 Off the road - on the internet forum
* users can be banned from the shoutbox before being banned from site
* consensus between three moderators/admin team is required to ban a user
* behaviour and bans will be enforced more stringently this year
* the committee will have further meetings about website use policy
* bans will be temporary or permanent in the meantime
9. Membership expansion
9.1 invitation cards - more will be printed out
9.2 promotional flyers - will be handed out at events
9.3 club will be promoted by sponsors at their workshops
9.4 member stats - provided by Reaper

Conclusion - people sign up and at least 1/2 dont hang around after that ie. stay active. A proportion of these people are from interstate but this would be low. Question is ?? Why would a local sign up and then not become/stay active in SAS?
10. Other items or business
* official thank you letter from the club to be written to Shannons for use of the meeting rooms today
* relaxing post limit to 100 only - this increase was agreed upon by the group
* use site moderators to moderate, not using the post count to moderate users
* buying and selling forum section is to be opened to everyone
* club constitution need to be reviewed along with the website moderating rules
